Exhibit Space –  What is Provided for your Fee

  • Draped booth – 8′ back, 3′ side rail.
  • An un-staffed booth in the virtual exhibit hall – available to attendees until August 31, 2024.
  • Uncarpeted floor space in booth.
  • Aisle carpeting (7 1/2′ wide).
  • 24-hour security.
  • 13 total exhibit hours; six hours unopposed.
  • Exhibit Directory listing in printed program & companion website (company name, booth #, address, phone, email).
  • Five product categories in the Buyer’s Guide.
  • Up to four* Exhibitor badges for bona fide booth/company personnel. No practicing librarians, teacher-librarians, workers, or trustees. Additional Exhibitor badges are available to purchase. *Based on size of space rental (four is based on a single 10′ x 10′). The Exhibitor Badge is a full-conference badge and allows entrance to all non-ticketed events.
  • Unlimited VIP Passes – access to invite clients. These must be completed electronically to be free. Paper copies and on-site registrations are subject to EXPO Only Fees.
  • Inclusion in the year-round AccessOLA “Library Buyer’s Guide” including a link to your corporate website.
  • Flat-bed dollies available for material handling.
  • Empty crate storage.
  • Use of a booth-sitting service.

Exhibitor Registration

Registration will be done through PheedLoop, a contractor for the OLA. Exhibitors must register personnel who will staff their booth during the show. A link for your PheedLoop login will be sent in December. Through the portal you can register all staff (and make changes up until end of day on January 18). You can use the Author Signing and EXPO VIP forms to register guests for badges. By registering before the event you can ensure badges are printed and available on-site when you arrive. Personnel involved in the move-in need not be badged on Wednesday or after 3:00 PM during move-out on Friday. Each registered company is entitled to the following number of badges for their personnel:
Single Booth (100 sq. ft.) – 4 badges
Double Booth (200 sq. ft.) – 6 badges
Triple Booth (300 sq. ft.) – 7 badges
Quadruple Booth (400 sq. ft.) – 8 badges
larger than 400 sq. ft. – 12 badges
Small Firms and NFPs may request 2 badges

Additional exhibitor badges may be ordered subject to Show Management Approval. The cost is $15.00 each (including HST).

Official Program, Exhibit Directory, & Buyer’s Guide

Each exhibiting company is entitled to one company listing in the exhibit directory. This listing will include: booth number, company name, address, telephone number, FAX number, sales representative and email address. Each company will also be entitled to five Buyer’s Guide product/service listings.

Exhibit Directory enhancements are also available to purchase:

  • Company logo
  • 50-word listing
  • Companies may also identify additional Buyer’s Guide entries

Wifi

Wireless Internet access will be available in the Metro Toronto Convention Centre this year for everyone to use. The service will be available in meeting rooms, hallways, public spaces, and on the exhibit floor during Show Hours (Thursday and Friday). This extended access is meant for casual Internet usage such as email, surfing, and social media. This service is not appropriate for exhibitors with professional, business critical requirements. Exhibitors needing Internet access for demonstrations or payment transactions must use the standard wired and wireless Internet services.

Education Programs

The EXPO is only one critical part of the educational process at the OLA Super Conference. OLA Super Conference also has over 200 programs, workshops, and plenaries offered in conjunction with the Exposition. These programs take place in the Metro Toronto Convention Centre and the adjoining Intercontinental Hotel on January 24 to January 27, 2024. The Ontario Library Association strongly urges exhibitors to take advantage of the opportunity to attend workshops and interact with members at every possible opportunity.

Submit a Session Proposal

Public Address System

In response to a worsening problem Show Management made a decision in some years ago to not allow companies to make announcements on the public address system. This was too broad a decision and it unduly affected the promotion of visitors and authors to booths. In 2024 a limited use will be available for companies promoting special guests at their booths. Other uses of the PA system may be considered and approved before the event. Please provide, in writing, the text and reason for the announcement if other than a special guest. Please use the Special Guest form in the Exhibitor Kit to alert OLA who you will be having and at the EXPO please submit a list of announcements you would like read and the time. The OLA reserves the right to edit these announcements.

We had almost 200 Author Signings on the EXPO floor in 2023, we can no longer promote each signing individually over the PA system but if a Special Guest form is sent in advance we will publish your signing information in the Exhibitor Directory, on an Author Signing page in the program, in the Conference App, on the Conference website, and on posters outside the Exhibit Hall.

Cleaning

Aisle carpeting (black & grey flecked) will be vacuumed each day prior to opening. If you require your booth to be cleaned you must make the arrangement with the MTCC.

Parking

The Metro Toronto Convention Centre has multi-level parking available 24 hours a day. Access to the Convention Centre – North is provided on all parking levels from the North parking area. The entrance to the parking garage is located at the east end of the Centre on Lower Simcoe Street. Exhibitors requiring daily parking on a short-term basis (two days or more) can get temporary parking passes which provide parking with daily in and out privileges.

Lead Retrieval

OLA will be offering Lead Retrieval through PheedLoop. Activation of Lead Retrieval for your company can be purchased through the OLA Super EXPO Store Portal. Using your smart phone and the PheedLoop App you can scan the barcode on the attendee badges, make notes about their interests, and then access their contact information for follow up.
