Super EXPO 2021

Thank you for your interest in the OLA Super Conference 2021 and the EXPO. It is Canada’s largest annual library and information event. The OLA Super Conference attracted 4,500 in 2020.

OLA Super Conference has grown steadily since 1999 and is recognized as a leading event for professional development and networking on the continent. Many vendors come to OLA when they have policies not to attend state/provincial level conferences because of the sheer size and market size that is presented to them.

Super EXPO Hours

These are the hours that exhibitors who are using the video chat should have staff available for attendees to ask questions. Video chat is available for the full duration of the conference and outside of exhibit hours if exhibitors wish to use it to schedule meetings, or events (Tuesday, February 2 – Saturday, February 6) with attendees.

Virtual EXPO HOURS in 2021

Wednesday, February 3: 11:00 AM – 5:00 PM
Thursday, February 4: 11:00 AM – 5:00 PM
Friday, February 5: 11:00 AM – 5:00 PM

The Virtual EXPO Booths and category directories will be available to attendees until August 31, 2021 including Lead Tracking information and “Request Information” button. Links, PDFs, contact information, and other resources can be updated by an exhibitor at any time over the year.

Virtual Booth Enhancements

Virtual Booths are a new necessity and our conference platform has been building and expanding their features and capabilities over the last few months. They recently performed a limited case study of booth traffic and found:

  • Virtual Booths with 5+ features (ex. video chats, intro videos, banner ads, etc.) saw 76% more booth traffic than the total average booth views

The following features generated the listed % more overall booth views vs. the average:

  • Banner Ad: 31% more
  • Logo on Exhibitor List: 14% more
  • Sales Rep Video Chat: 24% more
  • Giveaway Button: 103% more

Exhibitor Sessions & Author Events

On-demand Sessions

We have opened Tuesday up for Exhibitor Sessions, these are included in package B and C and can be purchased as an upgrade. These sessions will use the conference platform to pre-record audio with a slide show and appear in the conference schedule. The session will be easy for attendees to pause and re-start, and to easily find and repeat the sections that are of interest to them. The Tuesday time slot will allow for a live Q&A period between the speakers and attendees, and after a link for questions to be emailed will be available. They can also visit your booth during the conference to use the email or live chat options to ask questions.

Package C includes one 45-minute session, and Package B has one 30-minute session. 30-Minute sessions can also be purchased as an upgrade for $175.

Exhibitor Hosted Sessions

Exhibitors may schedule events and presentations using their own conference platform during the conference. The Video Chat at their booth can also easily accommodate 20 people for a presentation. These sessions can be added to the official OLA SC2021 schedule if they fall into the non-compete time slots: Between 9:00 am – 10:00 am, on Wednesday, Thursday, Friday, Saturday, and after 4:15 pm on Tuesday, Wednesday, Thursday, Friday. A link in the session description will be provided, you can link directly to the session, or to a landing page. If the session is being recorded a link of the recording for attendees visiting after the conference could be included on the landing page, content will be available to attendees until August 31, 2021.

Author Events

Exhibitors wanting to host an author at their booth are invited to use their preferred video conference platform or their booth Video Chat. Author events can be scheduled anytime on Tuesday, Wednesday, Thursday, or Friday. A link in the session description will be provided, you can link directly to the author event, or to a landing page for the event. If the event is being recorded a link of the recording for attendees visiting after the conference could be included on the landing page, content will be available to attendees until August 31, 2021.

Super Swag Stuff – (free giveaway button)
The Super Swag Stuff button on your listing will link to a webpage developed by your company. Get creative on giveaways and promotions to offer to OLA Super Conference attendees.
Video chat people
Staff will be able to video chat with attendees at any time during OLA Super Conference 2021, the chat features are not restricted to the EXPO hours. Attendees stopping by your booth can start a chat with any available member of your booth staff. Staff availability can be scheduled and posted on your virtual booth. Up to 20 people at a time can join the chat or it can be restricted to just a couple of people. Invite your customers to stop by your booth for a scheduled meeting, or use the chat to host live presentations about your products and services. Maximum of four video chats per booth.
Product Showcase
An opportunity to highlight products and services from your company including photos and category tags.
Lead Retrieval
Must be purchased before the conference begins. Access reports about all delegates who visit your booth including contact information of participants who have opted into sharing their information for communication with other attendees and exhibitors at the OLA Super Conference. Data will continue to be collected until August 31, 2021 as long as the conference content is available. Reports will be available until August 31, 2021. Information will also be included for attendees who use the Like button and Favourite buttons.
Session

Staff Access to Conference (Sessions)
Booth staff will have access to your booth but they will not be able to attend any of the sessions. Pre-reg list provided – subject to CASL opt-in regulations
An opportunity to build awareness about your participation at Super Conference. An Excel file with contact information for delegates who have opted-in to receive communication from exhibitors will be sent out on January 12, 2021. Due to tight timelines the list cannot be segmented by OLA. It is an all or nothing opportunity. This is a one-time use list for mail or email.

OLA Space Selection & Allocation Policy

In an effort to provide all member companies with an equal opportunity at EXPO space, the OLA uses a space allocation policy. Member companies that occupied space at the most recent conference have first right of refusal to the same space the next year. Some exceptions apply.

  • OLA Associate Members – request due by August 31. Companies will be notified of their space within 15 days of the end of the preferred period.
  • The remaining groups are eligible to book or will be assigned their space after September 7.
  • Associate Members who missed the deadlines.
  • Non-member companies who exhibited at the most recent conference.
  • General sales – the OLA has a database of companies who have expressed an interest in receiving EXPO materials.

The OLA reserves the right to make the final determination on all booth allocations. Members have the right to “upgrade” their space from the most recent conference to that of a non-member provided they apply before the August 31 deadline. This is on a first request basis.
